Who We Are
Provenance Oversight LLC ("Provenance," "we," "us," or "our") provides property oversight, family liaison and home support, and household transition and estate support services to homeowners and families in Palm Beach County, Florida. This Privacy Policy explains how we collect, use, and protect information when you visit provenanceoversight.com (the "Site") or submit an inquiry through it.
This policy covers the Site only. If you become a Provenance client, the collection and use of information in connection with your actual engagement is governed by your service agreement with us, not by this page.
Information We Collect
Information you provide directly. When you submit the Contact / Request Support form, we collect: your name, email address, phone number (if you choose to be reached by phone or text), preferred contact method, which service you're interested in, your city or community, whether you're local to the property or helping from a distance, what's going on (in your own words), and your general timing. We ask that you not include passwords, access codes, financial account information, or medical records in this form, and the form itself carries that same reminder.
Information we do not collect through the Site. We do not ask for payment information, Social Security numbers, or medical information anywhere on the Site. We don't have a login or account system, so we don't collect or store passwords.
Information collected automatically. The Site does not use cookies, local storage, or any session/authentication tracking of any kind. The only information stored beyond your direct submission is the inquiry itself: your submission is saved to our website platform's backend database before the notification emails are sent, so a delivery failure never causes your inquiry to be lost.
How We Use Your Information
We use the information you submit solely to review your inquiry, understand your situation, and follow up with you about it. We do not use it for advertising, and we do not sell, rent, or trade it to third parties.
Submitting the Contact form does not enroll you in any marketing list, newsletter, or other communications beyond a reply to your specific inquiry.
Text Messages
If you select "Text" as your preferred contact method, or text us directly, you're agreeing to receive text messages from Provenance related to your specific inquiry. Message and data rates may apply. We do not use text messages for marketing, and we do not send texts to anyone who hasn't provided a phone number through the form or contacted us directly by text.
Cookies and Similar Technologies
Provenance does not set cookies or use local storage, advertising, analytics, or targeting technology on the Site. The Site does load web fonts from Google Fonts (fonts.googleapis.com and fonts.gstatic.com); loading a font this way can involve your browser sending your IP address and browser (user-agent) information to Google as part of that request. This is a standard, functional part of how the Site displays its typefaces — it is not used by us for tracking or advertising. If we begin using analytics, advertising, or other tracking technology in the future, we will update this policy and, where required, request your consent before doing so.
How We Share Information
We do not sell your personal information. The service providers involved in operating the Site and handling a form submission include our website platform and backend database infrastructure, email-delivery infrastructure, and the mailbox provider that receives our internal notifications. These providers process information as necessary to provide hosting, database, email delivery, security, and related services to us, subject to their applicable terms and privacy practices. We do not share form submissions with any customer-relationship-management (CRM) system, analytics platform, advertising service, or third-party spam-protection service because we do not currently use those services on this Site.
We do not share the information you submit through this Site with the independent vendors, contractors, or specialists we coordinate for client engagements — that only happens once you become a client, under the terms of your service agreement, and with your knowledge as part of that engagement.
We may disclose information if required by law, or to protect the rights, property, or safety of Provenance, our clients, or others.
Data Retention
We retain information submitted through the Site for as long as reasonably necessary to respond to your inquiry, maintain appropriate business records, comply with legal obligations, resolve disputes, and protect our rights. If an inquiry results in a client relationship, information related to that relationship may be retained in accordance with our service agreement and applicable recordkeeping requirements. You may request deletion of information you submitted through the Site by contacting us, subject to information we may need or be permitted to retain for legal, security, recordkeeping, or other legitimate business purposes.
When you request deletion, we will delete the information from our active systems where reasonably practicable. We can't guarantee complete deletion from every system, however — for example, copies may continue to exist for a period of time in email inboxes, backup archives, or the standard operational logs of the third-party providers who help us operate the Site, consistent with their own retention practices.
Your Choices
You can ask us to access, correct, or delete the information you've submitted by contacting us using the information below, subject to the retention exceptions described above. If you no longer want to receive texts from us about an inquiry, reply to let us know or contact us directly.
Children's Privacy
The Site is not directed to children, and we do not knowingly collect information from anyone under 13.
Security
We take reasonable measures to protect the information submitted through the Site, but no method of transmission or storage is completely secure, and we can't guarantee absolute security.
Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we'll update the effective date above.
